The
system enables you to record details of individual residents, their
financial agents and next of kin, and levels of private and local
authority funding, plus one or more photographs for identification
purposes.
The ledger for a resident shows what is owing for that resident
at any time.
The software's credit control feature lets you track unpaid
fees and assess what action to take based on how long fee charges
have been overdue. For example, you can tell the system to send
a statement when a charge is a set number of days past its due date.
The system can be used to maintain a complete history
of correspondence and telephone calls that can prove very useful
if you have to resort to court proceedings.
Statements, reminders and final reminders can all
be customised to your own layout.
The Resident Standing Orders option is a very useful labour-saving
feature when it comes to recording receipts for residents that are
paid by standing order directly into your bank account. Once you
have entered details of the amount, frequency and due date of a
standing order you can post each subsequent receipt with the click
of a mouse button.

Fee records for each resident hold details
of how fees are to be charged, and who they are to be charged to.
Fees can be calculated weekly, calendar-monthly, quarterly, or
you can define your own frequency. Changes in the fees during a
resident's stay are also catered for.
Each resident can have multiple funding types, enabling
you to account separately for things like local authority funding.

Create
Reminders for rent reviews, periodic inspections,
gas checks and anything else you can think of. Create a reminder as a
one-off or have it repeat on a weekly, monthly, annual or any other frequency.
The software will let you know when the reminder becomes
due so that you can take action on it.

Fee
charges are calculated using the information set up in each admission
record. Calculations will be made for part periods as well as complete
ones, and will take into account changes in the fee rate automatically.
When you are ready, fee posting is carried out at
the click of a button: just enter the date you want to post fees
up to. You can generate fee demands, for printing and sending to
residents' financial agents, if required.
Once posted, fee charges become live transactions
on your residents' ledgers, showing you, at a glance, how much each
resident has owing.
When a resident's fees are paid you enter this as
a receipt and allocate it against the fees being paid. The credit
control feature of the software can be used to track unpaid fees.
